Why Companies Like to Rent Office Plants (Instead of Buying Them)

The "green office" is no longer just a design trend but rather a productivity engine. Research consistently shows that biophilic design can boost employee productivity by up to 15% and significantly reduce workplace stress. Yet, as Facility and Office Managers look to integrate nature into their workspaces, they hit a common roadblock: Should we buy the plants outright, or sign up for a rental service?

While buying might seem cheaper on paper, the operational reality is often different. To understand the decision-making process, we consulted Sarah, one of our plant design experts. Working with clients daily, she notes that while many companies initially hesitate due to the budget concerns, they almost exclusively switch to rental once they understand the hidden risks of ownership.

What We Hear Most From Clients

Before making a decision, most companies grapple with the same set of fears. According to Sarah, the hesitation to "go green" usually stems from three main uncertainties:

  • The "Green / Black Thumb" Anxiety: Who is responsible to care for the plants? Who is responsible if the plants die? No office manager wants to be the one throwing out dead trees three months after purchase.

  • Asset Liability: If the company moves or downsizes, what happens to the purchased pots and large inventory?

  • Hidden Costs: The realization that the purchase price is just the entry fee, then comes fertilizer, repotting, pest controls and others. Plants are living organisms and naturally evolve over time, which means occasional decline or replacement is to be expected.

Top Reasons Companies Choose to Rent Office Plants

We asked Sarah to break down the tipping point. Why do clients finally sign the rental contract? She explains that it usually comes down to three key pillars: Risk-free aesthetics, agility, and financial predictability.

  1. Guaranteed Visual Quality (= the "Zero-Risk" Policy)

Sarah points out that when you buy a plant, you own the risk. If a Ficus drops its leaves or turns yellow, it becomes an "internal problem". With rental, companies are paying for a standard of appearance, not just a physical object. Sarah emphasizes that clients feel a massive sense of relief when they realize they never have to stress about plant health; if a plant struggles and cannot maintain the quality standard, it is simply replaced at no extra cost.

  1. Agility for Modern Offices

Workspaces today are fluid. We also see this office flexibility in Switzerland and Germany: teams grow, layouts change, and hybrid models evolve. Sarah notes that purchased inventory is static, whereas rental contracts are dynamic. Rental allows companies to scale up and down without being stuck with a storage room full of empty planters. This aligns with broader facility management research, which suggests that renting assets offers superior flexibility for rapidly changing business environments.

  1. Professional Cost Management

While buying looks cheaper on day one, rental turns an unpredictable variable (replacements,  products and all the hours spent caring for the plants) into a fixed operational cost. Sarah explains that rental eliminates surprise invoices for new soil, pest control, or replacement plants. This financial predictability is crucial for companies trying to maintain stable facility budgets.

Professional Plant Maintenance as the Deciding Factor

It is easy to underestimate the complexity of keeping indoor nature alive. Sarah highlights that maintenance is often the single biggest factor that drives the rental decision.

  • The Reality of "Buying": When companies buy plants, the maintenance usually falls on an Office Manager or a volunteer employee. Over time, knowledge is lost, watering schedules are missed during holidays, and pests go unnoticed until it is too late.

  • The Rental Advantage: Rental removes this friction. Sarah explains that professional maintenance is not just about watering; it involves proactive care like cleaning leaves for better photosynthesis and recognizing early signs of root rot. This ensures the plants are actually performing their job, regulating humidity, filtering air and reducing stress.

Who is Plant Rental Best for?

Office plant rental is particularly relevant for:

  • growing companies

  • hybrid offices

  • facility managers with tight budgets

  • companies relocating frequently

  • built environments with low humidity

  • Anyone who cares about all the positive effects that plants bring into the office

Expert Recap: Fire Questions with Sarah

From your experience, why do companies hesitate between buying office plants and choosing plant rental ?

From my experience, companies often hesitate because buying plants can feel cheaper at first, while plant rental sounds like an ongoing cost.

But once they experience everything that comes with renting (or rather does not come with renting), such as no maintenance, no unpredictable costs (none, really), plants replaced if they are not doing well (yes, we do replace any plants that need to be replaced), more time to focus on things that matter, rental often feels much easier and cheaper!

What are the top 3 reasons clients finally choose office plant rental over buying?

  • No unplanned costs (nope, none at all). Buying plants usually means paying once at the beginning, and then paying again whenever a plant needs to be replaced, which can quickly lead to unexpected extra costs.

  • Our team of greenery specialists takes care of everything (and we really mean everything): watering, fertilising and treating the plants so they stay happy and ready to filter and humidify the air.

  • Replacement included. Since plants are living beings, it is natural that some may need replacing over time, and of course, we handle this at our cost.

How does plant rental make office greening easier for companies on a day-to-day basis?

Plant rental makes office greening simple because it allows companies to focus on what truly matters to them. Instead of spending time organising care, monitoring plant health, or arranging replacements, you can leave all of that to us, as it is our responsibility.

What role does maintenance play in the decision to rent plants instead of buying them?

Maintenance is key because plants impact the air we breathe every day (and let's be honest, we often spend more time in the office than we'd like)! If plants are not well maintained and start getting sick or dying, they stop doing their job and the office quickly loses that fresh, lively feeling that plants are meant to bring.

Which types of offices benefit the most from renting plants rather than owning them?

Being surrounded by green brings a lot to a workplace. Aesthetically, people tend to feel better and less stressed when plants are around. Technically, plants also support the indoor climate: while colleagues breathe and electronic devices release substances into the air, plants absorb CO2 and naturally increase humidity through photosynthesis and transpiration (they actually release up to 90% of the water they receive back into the air).

If you had to explain plant rental in one-two sentences to a new client, what would you say?

Have you already experienced the old ficus with yellow leaves in the corner of the room, maybe even been the one trying to save it? With plant rental, that simply does not happen, because we take care of everything to keep your plants happy and healthy (sorry that's two sentences).
